Job objectives and responsibilities

Join our 5-star Mitie team as a Front-of-House Receptionist & Meeting Room Host, where you will be the face of a prestigious corporate workspace. In this role, you will deliver an exceptional first-class service, ensuring a seamless and professional experience for both internal and external clients.

What we expect from you

  • Provide a genuine, friendly, and professional service to our client WPP and their guests.

  • Get to know who works in the building, who are our VIP's and what they require.

  • Take ownership of the reception area, ensuring it remains pristine, well-serviced, and welcoming at all times.

  • Maintain the 1st-floor business lounge and meeting rooms to a consistently high standard.

  • Ensure meeting rooms are correctly set up and proactively monitored throughout the day.

  • Liaise with the Events Concierge and our Events booking team to fulfill client requests and collaborate on projects to enhance the service, requiring strong IT skills.

  • Work closely with the Head Receptionist and wider team to effectively manage daily responsibilities and service delivery.

Main duties

  • Welcome visitors at Reception, manage sign-ins, and handle telephone queries efficiently.

  • Monitor and respond promptly to emails in the Reception inbox with professionalism.

  • Maintain the cleanliness and presentation of the Reception area, including chairs and tables.

  • Take ownership of the 1st-floor business lounge meeting rooms, ensuring high-quality standards and a seamless client experience.

  • Coordinate with Green & Fortune (3rd-party events management) to manage meeting room bookings, reset spaces after use, and ensure smooth transitions.

  • Set up meeting rooms, including some furniture arrangement and stationery, according to client requests.

  • Support the Concierge team with events on the 10th and 11th floors as/if needed.

  • Proactively manage daily standards, taking immediate action when necessary, especially regarding health and safety (e.g., cleaning spills or unblocking doorways).

  • Work closely with cleaning staff, ensuring areas requiring special attention are promptly addressed.

  • Develop a strong knowledge of on-site services to assist clients effectively.

  • Deliver an exceptional customer experience, consistently exceeding expectations.

  • Build professional relationships with key stakeholders to anticipate and meet their needs.

  • Assist colleagues positively and proactively, supporting additional duties when required.

  • Maintain a professional appearance and take pride in your role.

  • Be flexible to travel to other sites if required.

  • Promote a safe working environment, reporting all accidents or near misses to Mitie Lifeline and ensuring proper documentation.

  • Undergo training and maintain proficiency in the 'Robin' booking system.
