Service Administrator urgently required to work for a leading service and repair centre based near Guildford. This position will involve handling customer service tasks related to service, repair, and calibration operations while also providing administrative and support to senior management. This is a key role to the business where you will be the main point of contact for customers, be key to admin and service tasks required and supporting management across the business in ensuring Compliance to ISO/IEC 17025:2017..

The position would be ideal for someone who has come out of university or higher education and keen in developing their commercial understanding within business and customer relations. Alternatively we will actively consider applicants who hold experience within this field of service administration.

Key Responsibilities:

  • Act as the first point of contact for customer inquiries regarding product servicing, calibration, and repairs.
  • Process service requests & queries, quotations, and customer orders efficiently
  • Maintain accurate records of customer interactions, job progress, and completion.
  • Coordinate with technicians and Exports to ensure timely processing and dispatch of customer orders.
  • Handle warranty claims and service-related complaints professionally, ensuring prompt resolution.
  • Provide administrative support for invoicing, payments, and service documentation.
  • Assist senior managers in managing the workflow and ensuring compliance with UKAS and ISO/IEC 17025:2017 requirements.
  • Support the Maintenance of calibration and service records.
  • Support the preparation and review of quality management system (QMS) documents relating to customer relations.
  • Work the with management on equipment tracking, scheduling calibrations, contract reviews, and ensuring smooth laboratory operations.
  • Support training activities and process improvements within the lab.

Skills & Experience Required:

  • Previous experience in a customer service role.
  • Strong communication skills, written and verbal.
  • The ability to understand customer needs, show compassion, and build positive relationships.
  • Ability to prioritise tasks effectively.
  • Strong organisational skills with keen attention to detail.
  • The ability to remain calm, professional, and positive when handling difficult or high-pressure customer relation situations.
  • Computer Literate.

Desirable:

  • Experience in working with Quality Management Systems (ISO 17025 or similar).
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP systems.
  • A proactive, problem-solving attitude with a strong customer-focused approach.
