Key Information
Role: Team Organiser within the Transpennine Route Upgrade (Network Rail)
Location: York
Days: 3 days per week working agreement. Working days to be discussed at interview
Office Requirement: 3 days per week working from the office. There may be occasional travel required as per business needs. Any associated costs outside of York will be covered by Network Rail.
Brief Description
To support TRU Chief Engineer, Director of Deliver Operations and wider team in providing an efficient and effective general administrative and secretarial support service.
In this role, you will be responsible for coordinating travel arrangements, which includes booking accommodation and car hire for team members. You will also handle the scheduling of meetings and the reservation of meeting rooms to ensure everything runs smoothly. A key part of the position is managing the calendars for senior leadership, addressing any availability issues, and resolving scheduling conflicts as they arise.
You will also assist with the onboarding process by organising necessary equipment, such as Personal Protective Equipment (PPE) for the team and ensuring new joiners have the appropriate access to systems and resources. Additionally, maintaining office supplies and stationary inventory will fall under your duties, ensuring that the team has what they need to work efficiently.
Another important aspect of the role is providing secretarial support by taking minutes at meetings when required. You will also be responsible for updating and maintaining the action tracker, ensuring all tasks and deadlines are clearly documented and followed up on.
You will be responsible for carrying out administrative tasks as directed by the team and are expected to perform your duties in a way that reflects and supports our core values.
Ideal Candidate
The ideal candidate will be skilled in multitasking and prioritising tasks efficiently. They will have strong proficiency in key IT software, including Outlook, Windows, and Excel, enabling them to navigate daily tasks. Time management will be one of their key strengths, allowing them to effectively juggle multiple responsibilities.
Strong organisational skills are essential for success in this role, and the candidate will need to demonstrate a high level of attention to detail. Effective communication, both verbal and written, at all levels within the organisation is crucial. The ability to convey information clearly and collaborate with others is highly valued.
Additionally, the ideal candidate will have experience working with dynamic teams in fast-paced environments, adapting to changing demands and thriving under pressure. While experience with our specific booking systems is not required, training will be provided to ensure you are well-equipped to manage these tasks.
