We're currently looking to recruit a Personal Assistant who will provide joint support to our Regional Director (Wales). This role will have responsibility for providing PA and administrative support, to ensure the smooth running of the day-to-day operations of the functions.
Location: Flexible, hybrid working, with regular working in our Cardiff office
Contract: Permanent and full-time
Responsibilities
As a Personal Assistant, your day-to-day responsibilities will include, but not be limited to:
- Pro-active diary co-ordination for our Regional Director, including administrative support in arranging and servicing meetings, organising travel, accommodation, coordinate itineraries and preparing expense claims.
- Monitoring the emails of our Regional Director.
- Coordinating starters and leavers in the team, including ordering equipment, updating distribution lists and coordinating inductions.
- Co-ordination of key meetings including workshops, corporate events/functions and team meetings – preparation of agendas and meeting papers. Attending and taking minutes/actions of meetings and distributing to relevant
- Managing all invoicing, including raising Purchase Orders and ensuring the procurement procedures are adhered to and tracked for budget management purposes.
- Liaise with Business Development and marketing depts.
- Maintain awareness of present and past projects, contacts and clients.
What are we looking for?
This role of Personal Assistant is great for you if you have:
- Previous experience as a Personal Assistant, with experience of supporting leadership and fast paced teams.
- Effective written communication skills and excellent verbal communication.
- Proven record of communicating and influencing across a range of audiences internally and externally.
- IT proficiency in the use of Office 365 especially PowerPoint, Outlook and Excel.
- Able to manage confidential information and maintain high levels of professionalism.
