Job Description

The Office Manager will be responsible for the day to day clinical activities of the screening  programme, ensuring robust failsafe processes, screening and grading capacity, management  of service staff and oversight of the workforce training, accreditation and competency. Strategic and operational management of the nominated Diabetic Eye Screening Programme(s).

This will involve working with and across a wide range of stakeholder organisations.

The post holder will ensure the programme is delivered in line with national standards, providing an excellent screening service with the ultimate aim of reducing new blindness due to diabetic retinopathy

Main responsibilities and opportunities:

▪ To ensure that patient’s records are actioned and maintained appropriately and that confidentiality is maintained at all times and in accordance with appropriate legislation.

▪ Capacity planning, venue booking and rota management to ensure patient screening episodes and grading results are within NSC timescales.

▪ Health and Safety assessment and training, risk assessment, business continuity planning, patient complaints/feedback, incident recording and incident investigation.

▪ Assess and monitor the performance of staff ensuring the quality of service is of a high standard, ensuring effective communication on a regular basis. Encourage and participate in training and educational programmes to enhance staff performance.

▪ To provide oversight of failsafe mechanisms and support with the safe management of patient care pathways.

▪ To be accountable for staff management and the daily overview of the screening teams work, monitoring attendance in accordance with Medical Imaging policy in relation to absence including sickness, annual leave and special leave.

▪ Responsible for recruitment selection, induction, appraisal, review and continued professional development of staff.

▪ To have a flexible approach to the changing needs of the local service and the company as a whole.

▪ The office manager has a responsibility for ensuring the day to day running of clinical aspects of the screening programme, and the day to day management of screening/grading staff within the programme.

▪ They will support the Programme Manager for the achievement of service objectives, KPIs and the training and competency of the workforce.

▪ The role is based in our Cork office

Qualifications

Must hold at least 2 years’ experience in Diabetic Retinopathy Screening, Grading and Administration or similar.

Miniumum of pass Leaving Certificate or equivalent

Must have management experience

We want to be sure that you are set for success so these are some of the skills we are looking for;

  • Management experience including performance management of teams and individuals, alongside an experience of working within diabetic eye screening,  healthcare or other people/patient focused services.
  • Be able to use good effective communication skills both written and oral within a  multidisciplinary team at all levels and with diabetic patients in a calm, sensitive and  reassuring way. As well as the ability to work successfully across professional  organisations and with a multitude of stakeholders.  
  • They will need to show initiative and the ability to prioritise tasks and to use problem solving skills on a daily basis largely unsupervised, sometimes under pressure. Also an openness to consulting with line managers at all times. 
  • The post holder must be IT literate with experience of using bespoke screening database software and a knowledge of information governance  
  • Open to the continued advancement and service improvement to working practices on a local and Organisation level and actively engage with and development opportunities.
  • Ability to initiate and manage change.

  • Candidates must be able to demonstrate a pre-existing right to work and travel within the EU. Documentary evidence will be required.
