PURPOSE

To ensure that asset information is present, correct and up to date on the Computerised Maintenance Management System (CMMS). Reviews and collates all documentation for servicing and critical spares and maintains appropriate records and files to permit meaningful analysis and reporting of results or completed work.

MAIN DUTIES AND RESPONSIBILITIES

  • Liaise with UKHSA Asset Managers to assess requirements for on boarding.
  • Assist with management of onboarding / deactivating of assets as directed.
  • Enter and configure data and manage queries or adjustments to asset information in a timely manner.
  • Manage and preserve intricate links of grandparent / parent / child assets.
  • Liaise with Capital Project team to ensure assets from refurbishments are deactivated in a timely manner and where temporary assets are on site, routine maintenance plans are produced where necessary.
  • Ensure item location is correct.
  • Receive CL3 Lab service schedules from Supervisors and ensure all assets within the area are correct
  • Loading of asset data, manufacturer details onto the database and in liaison with the Operations Engineers schedule maintenance.
  • Provide regular and ad-hoc reports to the Equipment Support Manager and other members of the engineering team.
  • Perform periodic proactive reviews with Stakeholders to review asset information and update as necessary to drive continuous review and accuracy of data.
  • Provide systems to ensure Stakeholders are informing the department where assets are moved between rooms / departments.
  • Chase and resolve issues which may impact on key performance indicators.
  • Manage group email account to request changes to CAFM system data and respond to stakeholders in a timely manner to acknowledge request and document changes for sign off.
  • As required, actively participate in other duties to support the engineering function during periods of high volume, staff absences or critical incidents.
